Description

As a Manager of Accounting & Contract Administration for Mobilize Networks Inc., you will play a crucial role in administering and managing Mobilize Network’s Accounting, Finance, and Customer Contract Management activities. Partnering with the firm’s executives, managers and key outside consultants, you will be active in a variety of areas as dictated by situation and need. Areas of focus include:

Accounting

  • General Ledger
  • Daily/weekly transaction entry
  • Monthly close activities, including preparing and recording journal entries, reconciling month-end balances and resolving discrepancies
  • Record accruals, amortize prepaid expenses, and other accrual accounting necessary to conform with US GAAP reporting
  • Reconcile monthly activity and balances among accounting systems in use – QuickBooks Online, SaaS Optics and Stripe
  • Invoicing and Accounts Receivable
  • Manage invoicing and credit card charges for all customers
  • Manage receivables, including automated collection follow-up and extended collection activities on delinquent accounts. Coordinate with Operations to discontinue services to non-paying accounts
  • Receive payments, prepare deposits and apply payments to customer accounts

Accounts Payable

  • Setup and maintain vendor files, including obtaining completed W-9s and other necessary information
  • Ensure proper support and payment approvals are obtained, and expenses are coded to the correct GL accounts, recording accruals as necessary to ensure expenses are recorded in the proper period
  • Create check/payment runs and obtain prior approvals for all disbursements
  • Prepare 1099s annually

Customer Contract Management

  • Manage system input and update of all customer contracts, including changes and cancellations, in both Stripe and SaaS Optics
  • Reconcile contract activity, status and balances among SaaS Optics, Stripe, Salesforce and QuickBooks Online
  • Manage filing and retention of all executed customer contracts
  • Provide reporting and metrics to Operations and Customer Success to anticipate and manage timely contract renewals

Financial Reporting & Analysis

  • With direction, oversight and review by the CEO and the CFO consulting team, prepare
  • Monthly balance sheet and profit and loss reports
  • Preliminary budget-to-actual variance analysis
  • Monthly SaaS metrics reporting from SaaS optics
  • Update of rolling forecast for monthly actual results and for changes in customer contracts and future revenue projections
  • Reporting to the Board of Directors, as requested by the CEO
  • Schedules and documents necessary to support other activities such as tax return preparation by CPA firm
  • Recurring financial reporting, as required, to Mobilize’s bank and other 3rd parties

Payroll and Human Resources

  • Prepare semi-monthly payroll using outside payroll processor
  • Process salary & benefit adjustments, as needed
  • Reconcile benefits invoices with enrollment information
  • Manage employee tax information (W-4)
  • Track Personal Time Off and facilitate Expense Reports completion
  • As requested, assist the Operations Manager with administering employee and Human Resources activities

Requirements

  • Increasingly responsible positions within the accounting and finance function, including 3-5 years of relevant experience in Accounting Manager, Assistant Controller or Controller positions
  • Demonstrated knowledge of GAAP with experience managing SaaS revenue recognition, financial cycles, processes, and controls
  • Advanced knowledge of Excel, automated financial and reporting systems, other Microsoft Office products, and other tools commonly used by accounting and finance teams
  • Experience with QuickBooks Online
  • Experience with Stripe, SaaS Optics and Salesforce
  • Effective written and verbal communication skills
  • Bachelor’s degree in Accounting preferred
