TAO is seeking to hire a Finance + Operations Manager

The Technology Association of Oregon (TAO) is seeking to hire a Finance + Operations Manager for our organization. This is a full-time position that will report to the Chief of Staff + VP, Programs.  Our team of six in Portland also serves to support an established and thriving office in Eugene and rapidly growing presence in Bend.  The right fit for this role, and our team is someone who is organized, confident, empathetic, hard-working and always ready to jump in with suggestions for improvement.  

The Association has had 30% growth in the last 12-18 months. With additional growth opportunities on the horizon, membership and member services within TAO are on the verge of expanding rapidly.  This manager position will assist in guiding our organization through its next leve of growth at TAO.

Summary of Key Responsibilities

  • Execute all aspects of day to day bookkeeping and accounting process including but not limited to: A/P, A/R, payroll, journal entries, collections and bank reconciliation

  • Process bank and credit card reconciliation

  • Develop and manage operations budget

  • Support Chief of Staff + VP of Programs, Association Controller, and the President & CEO in development and analysis of annual budget

  • Support President & CEO, Chief of Staff + VP of Programs, and appropriate staff in developing and managing role-specific budgets

  • Assist Association Controller with oversight of monthly assessments and forecasts of Association’s performance against goals

  • Execute and maintain payroll records, process payroll using 3rd party payroll service provider (if applicable), including commissions and expenses for all staff and review/file forms necessary for compliance with federal, state and local laws

  • Prepare monthly and quarterly financial reports, including standard financial reports, budget vs. actual reports and KPI-specific financial reports

  • Maintain accounting procedures, policies and systems of internal controls to ensure the integrity of all financial systems

  • Refine and manage all accounting, financial, and HR policies and processes

  • Oversee all operational systems including, but not limited to: accounting, marketing, content management, customer relationship, and banking

  • Improve operational systems, information flow, processes, and managerial reporting and access

  • Manage the membership renewal process, including preparation, distribution of membership renewal invoices and collections

  • Manage website, CRM development and administration

  • Serve as liaison to outside operation-related vendors including, but not limited to: benefits, insurance, IT systems and office space lease

  • Provide short and long term project management for internal and external activities, as requested

  • Oversee upkeep of office including errands and buying office supplies

  • Maintain vacation and sick time tracking

  • Oversee and execute key HR functions, including, but not limited to: managing the benefits selection and administration process, assisting with employee onboarding, maintaining employee handbook and employee retirement account

  • Perform non-routine tasks requiring strong judgement and initiative

Salary, Bonus, and Benefits

Salary will depend upon experience and level of position of the individual. This position will be eligible for regular bonuses. Desired Skills and Experience

  • 2+ years relevant work experience

  • Excellent project management, verbal and written communication skills

  • Proficiency with Salesforce CRM, QuickBooks Desktop Pro 2017 and HTML required
